What we do with the information we have
We use the information that you have given us to organise and carry out weddings, baptisms and funerals, invite bereaved contacts to our Remembering Service, write to you regarding your donation(s), write to you regarding fundraising projects, inform you of events for children/parents, contact you regarding Safeguarding training, carry out DBS Checks, check that you have given permission for us to post photos of you, send you monthly copies of “Village News” and reply to enquiries, claim Gift Aid on your behalf.
We may share this information with other Ministers, organists, bellringers, churchwardens, the Diocesan Safeguarding team, PCC Secretaries and/or PCC Treasurers.
How we store your information
Your information is securely stored on Ironstone Villages Family of Churches owned, password protected laptops stored in locked cabinets in locked rooms. It is also stored on password protected hard drives for backup, stored in locked rooms. Some information is kept in paper form, stored in filing cabinets in locked rooms.
We keep your information for 7 years. We will then dispose your information by deleting all records contacting your information from laptops and hard drives and by shredding paper copies.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

- Wedding enquiries/bookings
- Baptism enquiries/bookings
- Funeral enquiries/bookings
- Service providers- organists, bellringers, flower arrangers etc
- PCC Members
- Donators
- Forms relating to Safeguarding for Youth Club and Little Gems
- DBS checks
- Photo permission
- Village News recipient
We also receive personal information indirectly, from the following sources in the following scenarios:
- A Church Near You (ACNY)- enquiries entered via ACNY are directed to us for following up
- Parish Giving Scheme (PGS)- donations via the PGS are emailed to our Treasurers
- Our website (via Life Events Diary)- enquiries for Funerals, Weddings and Baptisms can come in to us this way
- Funeral directors- Funeral directors provide us with Next of Kin details so that we can organise funerals etc.
- Thirtyone:Eight- Thirtyone:Eight carry out DBS checks so the DBS Administrator can see your data via their website if we carry out a DBS check for you.
